Reporting to the Executive Assistant, the Administrative Assistant will be responsible for providing hands on support for Chief Operating Officer, Managing Attorney and two Vice Presidents of Administration. The major roles for this position are organizing and coordinating meetings which include Senior Level Executives and acting as interface for residents/families by monitoring and managing all grievances for the facility in conjunction with the Grievance Officer from documenting, investigating and resolution, preparing facility for Annual NYS Department of Health Annual Recertification Survey including obtaining all necessary documentation and ensuring that all staff are informed and ready for Survey, assist in creating, submitting and implementing Plan of Corrections.

Ideal candidate will have an Associate’s Degree with 5+ years of Administrative Office work experience or Bachelor’s Degree with 3-5 years Administrative Office work experience preferably in the Healthcare field. The successful candidate must be proficient in Microsoft Office, predominantly in Outlook and have impeccable/professional verbal and written skills. The primary responsibilities of this position, which reports to the Director of Food Service, will be to assist the with the day-to-day operations of the Food Service department and kitchen to produce more than 3,000 meals a day, including creating and maintaining work assignments for staff, training & supervising staff, representing the Food Service Department at interdepartmental meetings and coordinating special events.  This position will develop menus and direct the staff in cooking and preparing food items to ensure the facilities fine dining experience.

The ideal candidate with a passion for culinary excellence must possess 10+ years of strong leadership experience working in large fine dining and catering establishments with high volume kitchen production and have a solid understanding of world cuisine, menu planning, food production, food presentation and purchasing.  An Associate or Bachelor’s degree from an accredited culinary school is strongly preferred. Experience with regulatory compliance, food safety, sanitation and overall workplace safety standards are required.  Prior experience working in large healthcare facilities is desirable.   • Current New York State Registered Nurse (RN) license
  • Bachelor of Science (BSN) degree.
  • At least 1 year of experience in a MLTC or PACE program required.
  • Case Management experience in a MLTC setting
  • Four (4) to five (5) years management and supervisory experience preferred.
  • Must be able to read, write, and speak English and Russian.
  • Strong organizational, communication, writing, and customer service skills
  • Excellent time management skills

Responsibilities for this position will include arranging day to day scheduling, monitoring and coordinating staffing on each of the nursing units working in collaboration with Nurse Managers.  Overseeing and tracking staff vacation, holiday and time off requests, communicating approved schedules to the nursing staff and arranging and coordinating temporary agency coverage for units as required.

High School Degree/GED required. College preferred.  Experience as a scheduler or coordinator in a fast paced nursing or medical office strongly preferred.  Excellent written and oral communication and customer service skills required. Expertise in MS Office and Outlook is required.

The hours for the position are 5am-1pm; 1pm-9pm; 9pm – 5am with variable working days.  Ideal candidate must be able to work weekends and other shifts.
